Treasurer's Report

Treasurer’s Report
Summer 2009
Chris Cook

Over the summer my main duties as treasurer were to get the signing authority passed on to the Summer council from the Winter one, preparing the DSU Audit and general reimbursements. While this may not sound like much there were a number of snags along the way. Firstly Scotiabank has changed their policy on what is required to transfer signing authority. The new requirements include a letter signed by 2 of the current signing authorities, 1 of the signing authorities must be present at the transfer time and all of the new signing authorities must be present. With everyone having jobs and Scotiabank’s difficult hours (10-4) co-ordinating this became a challenge. Once this was successful I moved on to looking into the audit. The audit was fairly straight forward however there was a discrepancy between the bank account balance and the ledger’s balance at the beginning of my term. Also the Bank Reconciliation forms and bank statements from March and April were missing. Thankfully Rosemary Bulley came to my rescue and greatly assisted in the process of preparing for the audit and balancing the books. Part of this problem was that I was unaware of the existence of the Treasurer’s Guide on the website so I didn’t have it for a resource.

I have a few recommendations to any new Treasurer.

Firstly I would STRONGLY recommend reading the Treasurer’s Guide on the website listed under “Knowledge Base”.

Second I recommend keeping reimbursements as a part of the weekly meeting and not outside. This allows people to know when they can be reimbursed and they won’t harass you outside of meetings. It also allows for easier book keeping as long as you take the ledger to the society meetings.

Outside of my treasurer duties I have been working on improving the website, as well as keeping it updated. I hope to continue this in future terms to allow the website to be a main communication source with the students. I hope to get our website linked to the cs.dal.ca website. I want to get pictures of the council each term as well.

I would be happy to answer any questions new Treasurer’s have and can be reached at cook@cs.dal.ca.
